This page covers the refund policy of payments made for walk events, and for products purchased from our store, whether online or in-store.
Walk fees generally
Apart from walks that we cancel, the Office does not automatically refund walk and bus fees. If you are entitled to a refund, under the conditions set out in this Policy, you need to submit a request to the Office (either by email or phone).
1. Trail Starter, Trail Walker and Trail Rambler walk grade events
This section covers events in the following walk grades:
Cancellation policy
A full refund of monies paid will be given if the walker withdraws from the walk on the website or notifies the office before the close of walk registration. That time is displayed on the event page on the website, but is often on the Tuesday to Thursday prior to the walk event. No refund will be given after this time.
If we cancelled the event:
- If you have paid a walk fee for this event (other than by use of a Golden Boots card) you are entitled to a receive a refund. Generally, the office will refund this money to you within 2 weeks of the date of cancellation.
- In most cases the refund will be credited to the account from which you paid the fees. If after checking your bank account, you have not received a refund of your fees within that time period, please contact the Office.
Hot weather policy
If the forecast temperature for Adelaide is equal or higher than 32C, walks are cancelled. For simplicity, this can be determined the night prior to the walk from the 7.00 pm ABC News Adelaide weather forecast, based upon the Bureau of Meteorology’s routine 4pm forecast.
Your Walk Leader will send an email to all walkers advising the walk is cancelled. We suggest you check your emails before leaving to join the walk. Even if the forecast temperature is later revised, the walk remains cancelled. In such a case walk fees will be refunded.
Severe Weather
Be aware that walks are automatically cancelled when the forecast includes a severe weather warning as per the 7pm ABC News on the day prior to the walk. Refer to abc.net.au/news/weather or bom.gov.au/sa.
Your Walk Leader will send an email to all walkers to advise of the cancellation. We suggest you check your emails before leaving to join the walk.
Bushfire policy
If a Total Fire Ban is declared by the CFS in the Fire Ban District where the walk event is being held, the walk event will be cancelled. In such a case walk fees will be refunded.
Extraordinary event or circumstance
Sometimes events may be cancelled due to an extraordinary event or circumstance, weather related or otherwise, beyond our control. In most cases you will be entitled to a full refund.
2. End-to-End walk grade events
This section covers End-to-End walk grade events. For week-long End-to-End trips please refer to the Extended Trip Events section below.
Cancellation policy
The refund policy for End-to-End walks is as follows.
- A full refund of monies paid will be given if the walker withdraws from the walk on the website or notifies the office before the close of walk registration. That time is displayed on the event page on the website, but is often on the Tuesday to Thursday prior to the walk event. No refund will be given after this time.
- We aim to provide well organised, well priced and interesting walks. As we sometimes need to book accommodation and organise catering we need to ensure that these costs are met. The Walk Leader will review walk refund requests, because some services such as meals and accommodation may have already been made to service providers.
Hot weather policy
In the event of hot weather, the decision to proceed with or cancel a walk is made by the Walk Leader(s), having regard to risk factors such as local weather conditions, trail accessibility, vehicle support, and the physical capabilities of walkers in the group. In some circumstances, the Walk Leader may decide to amend, modify or shorten a scheduled walk. If a single-day End-to-End walk is cancelled, walk fees will be refunded. Refunds do not apply to weekend-away walks and multi-day events.
Severe Weather
In the event of a ‘severe weather’ warning for the region, issued by the Bureau of Meteorology, the Walk organiser will make a risk assessment taking in risk of tree fall, exposure and lightning, and inform the walk participants of any change to walk plan.
Bushfire policy
If a Total Fire Ban is declared by the CFS in the Fire Ban District where the walk event is being held, the walk event will be cancelled. In such a case walk fees will be refunded, however charges associated with bus transfers, accommodation and meals cannot be refunded.
Extraordinary event or circumstance
Sometimes events may be cancelled due to an extraordinary event or circumstance, weather related or otherwise, beyond our control. In most cases you will be entitled to a full refund.
Your Walk Leader will send an email to all walkers to advise of the cancellation. We suggest you check your emails before leaving to join the walk.
3. Extended Trip walk grade events
This section covers Extended Trip walk grade events.
Cancellation policy
- To confirm a place, the deposit must be paid within a week of booking.
- Complete payment to be made by the specified date, usually one month from the trip date. To simplify the task for the office we encourage people to pay the full amount at the time of booking.
- If you advise us that you wish to cancel your walk registration:
- up to a month prior to the trip, the deposit will be refunded if your position is taken by another person on waiting list. A $10.00 admin fee may be charged.
- up to a week prior to the trip, the deposit will be forfeited
- within a week of the trip, no refund will be payable

4. Summer Walks grade events
This section covers Summer Walks.
Cancellation policy
A full refund of monies paid will be given if the walker withdraws from the walk on the website or notifies the office before the close of walk registrations. That time is displayed on the event page on the website, but is often on the Wednesday of the week of the walk event. No refund will be given after this time.
Hot weather policy
There is no Hot Weather Policy for Summer Walks. However if weather is severe or the conditions do not suit the particular walk a Summer Walk may be cancelled. Your Walk Leader will send an email to all walkers to advise of the cancellation. We suggest you check your emails before leaving to join the walk.
Severe Weather
Be aware that walks are automatically cancelled when the forecast weather for the day of the walk is for severe storms with damaging winds as per the 7pm ABC News on the day prior to the walk. Refer to abc.net.au/news/weather or bom.gov.au/sa.
